Review of 2022 blog post

This year I have been on a mission. A quest, if you like, to notch up as many proofreading hours as possible by gaining experience working freelance for publishers.

Tall Tartan Talks here … My quest? To cold email publishers every month since January 2022. I had been direct marketing to some extent since I started my freelance proofreading business in 2017. This year I have been dynamic in my mission.

The spreadsheet to record my cold emailing over the last 12 months has grown substantially. My strategy has worked. I’ve had more freelance work this year because I told publishers in my niche that I am available. Interested? Read further to explore my strategy.

To illustrate how my marketing year has been successful, I’ve chosen an acrostic using the letters of my name – ANNIE.

Being adaptable and completing work to fluctuating deadlines is essential to fit in with the requirements of any client, in this case, publishers.

Without a background in publishing, it was even more vital for me to ask questions if I was unsure of anything. If a contract wasn’t mentioned when I had expressed availability and interest in the project, I asked if one would be sent or if I should send my Terms & Conditions. It should be said here that an email agreement does constitute a contract, but I like to have one ready depending on the type of client. Half of the publishers who contacted me sent a contract for me to sign. The rest asked me to send mine.

Another variation was the style sheets. It was interesting to see how they varied from publisher to publisher. Some were basic. Some were extensive. When there was a lot of information to absorb, it was more manageable to make a note of the exceptions to style guides such as New Hart’s Rules. (Relevant to my UK publishers.) This way it was easier to keep track, maintain consistencies, and not get overwhelmed.

Networking

In January 2022 a small group of fellow networkers, part of the Drive the Partnership Network, began our Quest – weekly goals for January to April. Drive is a group of like-minded small business owners.

To facilitate accountability, we met once a week on Zoom for updates and motivation. We were also available via Slack messaging to share challenges and wins. It was a collaborative process: I asked for advice and offered my tips in return. It was what I needed to kick-start my mission. New opportunities

Up until January this year I had done very little publishing work. The requests that had come through my website were mainly from self-publishing children’s authors. But, by contacting publishers in my specialist areas, eg education, English Language Teaching (ELT), and children’s books, I found that they valued the expertise evident on my website. This has led to exciting new opportunities.

One debate which occurs regularly in the editing world is whether to generalise or specialise. Personally, I have found that narrowing in by using my specialism has had huge benefits. If you are a career-changer with an expertise which makes you stand out from the editorial crowd, you are a useful person to know. Tell people!

This year, in my niche, I have carried out freelance proofreading for an ELT publisher, a publisher of history books, a packager, an educational publisher, and an NGO (charity) publishing a book for international primary schools. Interestingly these enquiries came through my website after I had done a batch of cold emailing, and not, at first, from the publishers I had contacted … Perhaps they had seen that I had shown availability on LinkedIn? I did always ask where they had found me if they didn’t mention it. Anyway, there was something in the air …

Inspiration

As well as being inspired by the members of Drive, I was pleased and proud when it transpired that some members of Drive had found my motivation to be an inspiration to them. I am a natural helper (former teacher!) and keen to help when I can. I have learnt much from others about owning and running a business, and I like giving back.

Endeavour (or 3Ps)

To me, the word endeavour encompasses the 3Ps: patience, persistence, and perseverance.

These are skills to practise in any sphere of life, but they are a lifebelt that I cling to in the running of my business. No-one said marketing would be easy.

Every quarter, when I did another batch of cold emailing, I would ensure I had added another training course to my CV. This year my Continuous Professional Development (CPD) with the Chartered Institute of Editing and Proofreading (CIEP) has been the Editing Digital Content course, and How to Mark Up PDF Proofs with Denise Cowle Editorial (a discount is available to both CIEP members and those in the ELT Publishing Professionals directory.

Completing training courses to add to my range of skills has made me a more trusted professional, giving publishing confidence to new clients.

CPD and networking this year also included attending the hybrid CIEP annual conference in person in Milton Keynes, and the ELT Freelancers’ Awayday in Oxford. Both happening in September!

Marketing success

Children’s book authors

I have helped at least three self-publishing children’s authors publish their children’s books. Three other books have been proof-edited (proofreading with additional suggestions for improvements) and are at the pre-publishing stage.

Of the children’s book publishers I have worked with this year, Black Poppies by Stephen Bourne, published by The History Press about the story of Britain’s Black community in the First World War, is a recommended read for primary schools. It was a fascinating project.

What and how to fix

1.What is an SSL certificate?

You are researching a topic and click on a website link. It opens. You notice that the padlock on the top left of the website URL (address) is missing. It appears with the message ‘Not secure’.

Some URLs start with http:// while others start with https. Maybe you noticed that extra ‘s’ when you were browsing websites that require giving sensitive information, like paying bills. But where does that extra ‘s’ come from and what does it mean? Your website host should provide you with an SSL certificate. If your website is missing that extra ‘s’, it could put off potential clients.

2. Setting new tabs

Adding content to your web pages might include a linking to another page of your website, eg Contact page with a hyperlink, or linking to another website you recommend.

If a visitor to your website receives an Error 404, there is an error loading that page, or a page link is broken. A quick and easy way to check that you’ve minimised this problem is to check that the links in your website work. Just google ‘broken links’ – you’ll find a selection of websites to help.

When I checked, I found many broken links. Aaargh! It seems I had tweaked and moved my pages around my website muchly over the last couple of years; I hadn’t checked that links still worked. They do now!

4. Personalising your 404 page

Have you tried personalising your Error 404 plug-in? Thanks to another freelancing colleague for that tip. If you feel creative, you could take your branding all the way through to the pages that break. 

You hope that visitors to your website won’t ever see the Error 404 message, but, if they do, they will still see you, your personality and your message, with a link that you’ve placed there redirecting them back to your homepage.

6 Website Features You Should Check

6 website features you should check (part 1)

Have you started your freelance business? Do you have a website? Are you concerned that you don’t have much yet to put on a website?

You may feel terrified at the thought of building a website.

Or have you owned a website for ages? Have things changed in your business? Perhaps your website needs refreshing.

Tall Tartan Talks here … Whether you are a new or established freelancer, it is vital to give prospective clients who come across your website the impression that your features are correct and up to date.

Fear not. I have made a list of website features that you should check, which won’t take a moment for you to fix.

Fixing six elements

1. Contact email address

If you have a website, it appears more professional if your email address is linked to your domain name. For example, my website is proofnow.co.uk. My business email is annie@proofnow.co.uk.

Make sure the spelling of your email address is correct on your website. An error means potential clients, or fellow colleagues, can’t reach you. They will give up and try someone else.

It is personal choice whether to display your phone number or not. Some freelancers like their customers to book a call, so their number may be linked to a Call To Action (CTA) button.

Being contacted by WhatsApp, in my opinion, is the worst way to communicate for business. I keep that app for friends and family. Others don’t want to be disturbed by phone but would rather be contacted by email. Whatever your preferred form of communication, make sure it is apparent and correct on your website.

2. Contact form

A contact form on your website is effective for reducing spam. But ensure it is connected to your email address and messages can get through. It is frustrating for potential clients to send a message only for it to be lost in the ether. Check your contact form works by emailing yourself or asking a friend to test it.

3. Spelling, punctuation and grammar

This may seem obvious, but check the spelling, punctuation and grammar. Proofreading the content is vital, especially if you are providing your services as an editor or proofreader.

It is difficult to proofread your own writing because you see what you think is there, not what is actually there. You may have redrafted a phrase and the sense has gone? Yep! Again, ask a friend to check the content for you.

4. Correct copyright date in the footer

Have you ever scrolled all the way down to the bottom of a website page you are browsing? There is usually a date at the bottom – the copyright date. It should show the current year or the range of years of business.

You’d be surprised (or maybe you wouldn’t) how many websites look out of date because the footer hasn’t been updated. Even well-known and established brands have overlooked small details like this.

If the date is wrong, how can we trust other content on the website to be correct?

5. ‘I’ rather than ‘we’

This is a style feature. If you are a sole trader, you own your freelance business. It’s just you, not a team. Do you use ‘I’ or ‘we’?

‘I’ is more personal and gives the impression that you are talking directly to me. I can get a sense of you and your business from your website. ‘We’ gives the impression that you are part of a team providing the service.

Be honest with your content. If you use ‘we’, who else are you talking about? What are the names of the people in your team and where are their photos? That brings me on to the next heading.

6. A photo of the website owner

I am aware that not everyone likes to see themselves in a photograph. But a photo of the freelancer brings a personal touch to their website. I can put a face to the name of the business.

It’s not hard to upload a selfie. If it is an up-to-date photo, even better. If you can afford to get a professional headshot taken by someone who can show your personality … fantastic!

Some freelancers use a logo instead. It’s a personal choice. Whatever image you use, make sure it is the same on your website as in any networking groups and social media channels you use.  If you use a photo, we’ll recognise you quicker. You will become a familiar face. And we’ll remember you.

Keeping your website fresh

If these features are in place and appear current, the potential clients looking at your website will know that they can trust you. You will give a good impression. The client may even be convinced to ask for your services.

There are other features I haven’t mentioned, but those mentioned here are a start and will point you in the right direction.

Websites are never finished. Don’t think that once it is built, that’s all you need to do. You need to tweak it monthly, at least.

If you add new content, for example, a fresh testimonial, it will keep your website up to date and fresh.

Why your website is important

If you keep these six points in mind, your website will help you come across as a trustworthy and confident professional.

Remember, your website is your shop window.

You may just prefer to rely on a profile on LinkedIn, Twitter or Facebook to help you persuade clients to book your services. But you own your website. It belongs to you and isn’t at the whim of the social media algorithms.

Your website needs to work for you and represent who you are. Be proud of it!

One Day in my Life as a Proofreader blog

We all need a routine and a structure.  Here I describe one day in my life as a proofreader, editor and primary tutor.

Having a business mindset will help structure your daily routine.

Morning schedule

In winter, my routine starts at 7 am; in summer it starts at 6 am. I used to be an owl and stay up late. As I hit middle age I turned into a lark with my day starting earlier and earlier.

It also depends on when my husband gets up. He sits at the dining table eating breakfast and reading a book. I mix a mug of hot water and lemon juice, sit at the other end of the table (that end is my ‘office’), and switch on my laptop.

He often spends the day gardening for clients and leaves the house early to cycle to work.

Answering emails

I find that the morning is the best time for me to respond to emails. Mostly I wake up thinking about phrasing a reply to a received email. Or, I have had a lightbulb moment about who to contact for a possible proofreading job.

I leave the emails in my draft folder, making a note to send them at 9am, which is the start of standard business hours.

Freelancers are as varied as the routines and schedules they follow. Flexibility is key as deadlines can determine the hours worked.

Completing tasks

At this time of the day, I may also get on with one of these tasks:

  • work on a proofreading or editing project
  • research facts for a proofreading project or blog post
  • complete a stage of a CPD training course
  • prepare a primary tuition lesson.

9.00 am: By the time Mr D has cycled off to work, I have usually done several sets of the Pomodoro timing method. I have completed a couple of hours of work or admin. I realise that I am hungry and should eat some breakfast. A break and a change of view is needed.

I take my Android tablet through to the living room, to a soft chair, where I can sit at the window and look out into the main street. I peruse the comings and goings outside my house, as well as those onscreen in the online newspaper reviews.

9.30 am: My sons (both in their 20s) have gone about their business. They are old enough to be independent, thank goodness. I get on with the next part of the morning routine.

10.30 am: Oldest son switches on the coffee machine for elevenses. By now, I have usually logged on to the CIEP (Chartered Institute of Editing and Proofreading) forums to view discussions. Since I joined the CIEP in 2017, the forums have become my online staffroom.

Lurking on social media

After coffee, I check social media and may post some content marketing, especially on Linkedin, whether that be freelancer business tips or a blog post.

Getting on with the day

For the next two hours, my routine continues. I may answer an email proofreading enquiry. The reply conversation goes like this:

  1. Receive an email through the contact form on my website. Currently I am getting enquiries from new, independent children’s authors. They ask if I’m available and how much I charge.
  2. I direct them towards the appropriate page of my website and give them my availability.
  3. I ask them to send the document so I can give a personalised quote. Or send, at the very least,  a 1,000 word sample from the middle of their text so I can judge how long it will take me to proofread. (The beginning and ends of the text are usually much better.)
  4. From that sample I can give them a quote. If the project needs my educational specialism, I will also factor in my 30 years of experience as a teacher. I know the value and knowledge I bring to a project.
  5. If the timing and rate suits them, I book them in by sending them a copy of my Terms & Conditions. (See templates in the Resources on my website). If the job is large (over 15,000 words) and is going to take a few days, I send an invoice for the deposit for them to secure a slot in my schedule.

Afternoon routine

1.00 pm: Lunch – joined by Mr D (if he is having an art day in his garden studio). We have been enjoying some comforting homemade soup. A perk of being freelance means I can take as much or as little time for lunch as needed.

2.00 pm: Desperate for some exercise and fresh air by now, I realise that it is time to take my eyes away from the screen.

For 30 minutes, I either head to the shops in town, or I take a brisk walk in the opposite direction, propelled by my walking poles, towards the nearby countryside.

Break time

3.30 pm: Time for a break to move around after another spell on the laptop, and to make a pot of tea. Fruit is the preferred snack if I’m being good. Cake on a Friday …

4.00 pm: Take part in a Zoom networking meeting. It could be CIEP Cloud Club West, or my accountability group, or another. Or it may be a tuition day when I tutor a primary-age child on Zoom.

5.00 pm: Time to wind down. I consider the achievements and the work I haven’t fitted in today. Notes are made for tomorrow, added to the e-list on my smartphone. I like the Evernote app.

Next, cooking the family dinner is a welcome distraction.

Changing habits from the past

When I was teaching primary children full-time (I Ieft the classroom in 2016), I left home at 7:30 am to be at school to prepare my classroom.

I left school each day at 6pm with a trolley-box full of the workbooks I hadn’t had time to mark after 3.15 pm.

I would continue to mark for at least a couple of hours in the evening. It became relentless after doing it for 30 years. I didn’t see much of my own children while I was busy educating the children of others.

Being the boss

When you own your business, you are your own boss. The responsibility is on you to do everything. This will either terrify you or excite you.

You and you alone are in charge of tasks like email admin, IT support (computer and website, and knowing what to do if something goes wrong or know who to ask); accounting (keeping track of income and expenses). Remember to plan time for networking, CPD and marketing. It helps if you know what to do if something goes wrong, or you know who to ask.

But I get a thrill from running my business efficiently and by doing some of the required tasks each day.

If chores get too overwhelming, break down each element of your big task into smaller chunks.

Relaxing in the evening

7.30 pm: I have a last check of my emails and social media. Notifications get switched off and I turn to something different. Maybe a book. As I got up so early in the morning, I’m usually running out of steam by this point.

I only work in the evenings or weekends if I have an urgent deadline or there is a rush job. I charge accordingly for working overtime.

After decades of working an infinite number of unsociable hours, I realise the major importance of having a work–life balance. It is vital for me to have a sense of my self-worth.

5 Highlights From 2020

5 highlights from 2020

As weird as 2020 was, I have a few highlights from the year.

Tall Tartan Talks here … As I mentioned last year in my review of 2019, life as a freelancer has its ups and downs. This year has been, for some people, an extreme of that precarious situation.

Luckily, my freelance work life is mainly online, so I count myself blessed that I haven’t been affected too much.

I want to tell you about highlights in five areas. Well, more really, but five is a factor of 2020, so it sounded better.

1. Training

This year has been for me principally a year of learning and adding to my Continuous Professional Development (CPD) with the Chartered Institute of Editing and Proofreading (CIEP).

  • In December last year I began the proofreading mentoring scheme. By May I had completed it. It was a unique opportunity to have experience of  a wide range of real jobs with guidance and virtual hand holding from a highly experienced Advanced Professional CIEP member. I wrote about it in the blog post Editing Training Part 2.
  • A group of us formed an informal Accountability Group. Consisting of other CIEP members, it prompted me to achieve many CPD goals.
  • I attended the CIEP online conference in November. A huge highlight!
  • I completed the CIEP Copyediting 1: Introduction course.

2. Networking

Along with everyone else in the world in 2020, since March, all my networking has been carried out on Zoom. It’s a necessary evil.

A particular networking highlight this year was that I, along with other international members of CIEP, formed our Accountability Group. (Yes, I am mentioning this again …)

We share our goals fortnightly on a Zoom call. We use the messaging app Slack to have daily chats about wins and rants. It is our safe space.

Without their encouragement I wouldn’t have achieved half of what I have done this year.

3. Rebranding

This time last year, I aimed to research how I wanted the branding on my website and social media profiles to appear. I considered branding, my brand identity, values and colours. This is described in the My Branding Process blog post. I am particularly proud of this 2020 highlight.

I tweaked my website; made sure the Contact form worked; added an Upload file widget so that potential clients can add a sample of what they want me to proofread to their query.

I subtly changed the titles of my blog posts. Originally tagged #TallTartanTells, this was changed to #TallTartanTalks.

To help with tips for general efficiency, I wrote this blog post called Managing Emails after I read a book on productivity. Clearing your emails once a day by ensuring you have an inbox-zero situation can clear the head and prevent worry.

Sadly, I am not as strict with myself as I was when I wrote that blog post. Workload weight means that I tend to have a clear-out once a week these days … It has become a Friday job.

4. Tutoring

After such a busy couple of years of tutoring in 2018–19, I was worn out by the beginning of the year.

By March, tuition had moved online using Zoom and interactive teaching software. Boy, was that a challenge! How to get the work to parents? How to ensure interactive learning?

More than half a year on, the online tuition routines are well established: work is emailed before the lesson, a variety of resources are enjoyed, and pupils can even share their screens.

The main highlight? Not travelling to their homes. The extra time taken to plan an interactive and challenging lesson, then email the parents with the information; versus the time saved by not commuting …

I wrote two blog posts with teaching tips this year: How I Teach English and How Do You Learn?

In July, one of my pupils left Year 6 (age 11) thereby finishing primary school. The two sessions of tuition per week I had done with them for two years became available.

The main reason I became freelance was to be in control of my work–life balance. Consequently, I took the decision not to fill those spaces with more pupils because I was losing that balance. Saying no to work is never easy, but preserving mental health is a priority.

Instead I did more editing and proofreading CPD using the extra time I had gained.

5. Cold-emailing

With my updated training skills and new branding, I was ready to offer my further proofreading skills to educational publishers and publishers of children’s books.

The last time I cold-emailed publishers (about 18 months ago) I invested a tremendous amount of emotional energy in the process. I thought about it far too much – not good.

This time I was wiser. I bought the Children’s Writers’ & Artists’ Yearbook 2020. I made a list of websites, contact names and email addresses. Once I had researched a publisher, certain that they published what I was interested in proofreading, the cold emailing began.

I found TextExpander very useful for giving me shortcuts for repeated phrases, so that they were much quicker to type, e.g. my email address, phrases like proofreader available, etc … Even a whole email was saved in my snippets so that it appeared when a simple shortcut “//query” was typed!

My CV was updated with my new branding, training and most recent experience. and I attached it, with the body of each short email acting as a covering letter.

However, it is important to bear in mind that the return reply rate is statistically low – a minimum of one in ten. This time I put emotion and desperation to one side in order to become businesslike and pragmatic.

Since then I have learnt that publishers aren’t keen on receiving email attachments. Therefore I now add a P.S. stating that my C.V. is available.

Once the batch of emails was sent for the day, I put them to the back of my mind, and got on with other jobs.

I am grateful to have received a couple of positive replies from publishers responding that they would add me to their books.

Children’s book authors

Having re-vamped my website, I pushed the SEO (Search Engine Optimisation) on the page which advertises to children’s book authors.

It shouldn’t have been a surprise then when I had several enquiries from independent children’s authors (self-publishing). When I asked them how they had found me (I’m in several directories), their answer was always “Google”.

A proof-editing job I enjoyed was a series of 9 stories for young children. They featured the adventures of the same small character. I suggested tips for consistency across the series.  The author asked for advice on self-publishing. They weren’t the first to enquire.

I searched the hive mind that is the CIEP forums and found some gems of advice to pass on. I really hope the author publishes next year. Fingers crossed!

Perhaps I should add self-publishing advice for authors to my list of aims for next year …

So, to 2021 … plans need to be considered and formed, no matter what is going on in the world.

How I Teach English

How I Teach English blog post

There is a lockdown. Schools have closed for all except the children of keyworkers, with a rota of teachers. Parents are home-schooling their children by teaching English, and all the other subjects.

The pupils who I used to teach face-to-face have moved over to online tuition. I have been learning how to use Zoom, and how to share resources using screenshare.

Tall Tartan Talks here … My feeling now is that the information I share in this post about how to teach English is just as important now in the current climate. You will become more aware of just how much there is to teaching English – and that’s just up to Year 6 (age 11) level – never mind GCSE or A level.

I write about my freelance business. I have been providing proofreading and tutoring  services since I left classroom teaching in 2016. This is part of my blog series on education, teaching and learning, and how educational publishers and children’s book publishers can benefit from my expertise.

English teaching

When I teach English to primary school children, I could be covering within these six skill areas:

  • reading decoding and comprehension
  • spelling
  • punctuation
  • grammar
  • handwriting
  • writing composition

Reading

The key skill in teaching English is the teaching of reading. Without having efficient reading skills, children find it more difficult to access other areas of the curriculum.

By the time children leave primary school, they should be able to read and understand what they are reading. There are those children (below average) who can decode (break down) the sounds in words to help them recognise and pronounce them.

More able children can read challenging texts fluently. When I taught in the classroom it was a pleasure to hear a child read with expression or have confidence performing with drama. It was equally pleasing to see the progress made by a child who was struggling with phonics. Those lightbulb moments are priceless.

Infer and deduce

It is intriguing to teach more able readers how to infer and deduce (read ‘between the lines’) by increasing their vocabulary, by prompting them to understand what that challenging vocabulary means,  by leading them to dig deeper into the text.

It is encouraging to watch reluctant readers laugh at the stories spun by authors such as Liz Pichon (Tom Gates). They want to read on … But it is also frustrating when they ignore an unfamiliar word, hoping it will just become invisible. I teach them to become inquisitive enough to want to find out why the author chose that word, investigating how that word adds to the story.

Spelling, punctuation and grammar (SPaG)

Three elements of English – Spelling, Punctuation and Grammar – have been turned into a variety of acronyms by the Department for Education over the years: their incarnations have been SPaG, GPS, … In the 2010s the government introduced intensive assessment of SPaG at the end of key stage 2 (Year 6), which resulted in children being taught far more about grammar than they need to know at that age.

Let’s begin with Spelling.

I find that children generally divide into two camps: either they can spell, or they can’t. Some children really worry about spelling. Some don’t know what the fuss is about – spelling isn’t important to them. Or there are those who are proud because correct spelling comes easily to them. They got perfect marks on the weekly spelling test.

When tutoring my pupils, I ask them to look at the spelling of a word they have written. Does it look right? Does it match spelling patterns they know?

Spelling can be taught in fun ways using games, e.g. Scrabble, wordsearch, to name just two. ZType is a typing app which reinforces spelling in a fun way. Try it!

Children with dyslexia are a different discussion. Thankfully they now get more recognition and help now than in the past.

Punctuation

It was so frustrating when, in upper primary, I experienced children forgetting to use capital letters and full stops to begin and end a sentence. Ironically, they could use more advanced forms of punctuation, but forgot the skills taught in Year 1.

By Year 2 (age 7) children are taught to add to their knowledge of punctuation by using a question mark or exclamation mark. By Year 5 (age 9) children are taught to use a wide range of punctation, including the semicolon (an elaborate comma) and colon (introduces further information).

When I wrote their ideas on the whiteboard or Learning Wall during Guided Writing, pupils were keen to point out punctuation errors (deliberate mistakes made by me) but they weren’t as observant in their own writing. Children had to be retaught to punctuate as they wrote, rather than put the punctuation in afterwards.

Which is why writers perhaps can’t see the wood for the trees and need a trained editor and/or proofreader to find errors.

Grammar

Here are some terms you may not have come across before. They are assessed in the SPaG SATs (Standard Assessment Tests) for Year 6 (age 11) at the end of Key Stage 2.

Let’s try some … Can you identify the following? 

What is:

  1. an adjective
  2. an adverb
  3. a fronted adverbial
  4. a modal verb
  5. a conjunction
  6. a subordinate clause
  7. a relative clause
  8. active voice
  9. passive voice?

Here are the answers, if you are curious:

  1. adjective: describes the noun
  2. adverb: describes the verb (sometimes ending with ‘ly’)
  3. fronted adverbials: an adverb which starts a sentence pausing with a comma, e.g. ‘In the far distance, …’
  4. modal verbs: verbs which show possibility or likelihood
  5. conjunctions: used to be called connectives – links two clauses with ‘and’, ‘but, ‘or’, etc.
  6. subordinate clause: a clause which depends on the main clause to make sense
  7. relative clause: a subordinate clause introduced by a relative pronoun, e.g. who, which, whose
  8. active voice: the subject of the sentence is doing or being, e.g. The cooks burned the apple pie.
  9. passive voice: the subject is being acted on by the object, e.g. The apple pie was burned by the cooks.

However, this is not the place for a debate about which and why grammar rules should be taught to 7 – 11 year olds.

Right, moving straight on to something a little less controversial …

Handwriting

According to the national curriculum, children should be joining their handwriting from Year 2.

I get much satisfaction from showing children how to form their letters correctly. Tall letters have ascenders (lines going up, e.g. b, d, h, k, l, t) and others have descenders (lines going down, e.g. g, j, p, q, y). The letter f, when handwritten, should have both.

Each school usually has their own handwriting policy. Some schools advocate teaching cursive handwriting from EYFS Reception (Early Years Foundation Stage). That’s fine if the child demonstrates good fine motor control with the pencil, but I’m not convinced. Then again, I never taught in an EYFS classroom. (I was too tall to get my legs under the tiddly tables!)

Another tip I offer is to dot the i’s and cross the t’s after the whole word is written, rather than lift the pencil/pen and stop the flow of the word to finish those letters. Try it with the word ‘little’. Oh, and remember that those l’s are ascenders, so will be taller than those standard i’s and e’s.

Neatly joined handwriting has its place and does look absolutely exquisite in the right setting. But the quality of the handwriting should be appropriate to the audience. For a quick visit to the shops with a list just for one’s own viewing, a scribble is sufficient. On the other hand, perfecting the greeting on a card to Granny is the opportunity to be proud of neatly joined, cursive script.

Writing composition

There is nothing more thrilling than to have a child show their learning by incorporating features of writing you have taught into an unaided composition.

Whether the genre is myths, legends, historical, comedy or horror, their ability to show understanding of the features of that genre is a mark of their progress and success as writers.

Their skills at writing are enhanced if they are reading a wide variety of genres. If they can also build believable characters, with imaginative speech which moves the story on, and they can talk directly to the reader, their writing becomes a sheer joy to read.

By Year 6, most children can include a wide range of devices in their writing: plot structure; description of setting and characters using vivid adjectives and adverbs, similes and metaphors; action between characters; speech (using the rules of dialogue punctuation); and punctuation. Even showing contrast of types and lengths of sentences, e.g. ‘long / short / long’ or ‘short / long / short’ for dramatic effect.

The hardest concept for some children to grasp is how to lay out paragraphs. They are taught to start a new idea on a new line with a small indent. Each paragraph should have a new idea. One example of a model to help understanding is to show children fiction authors’ work where paragraphs have been jumbled. The task is to rearrange them so that the meaning of the overall text makes sense.

So, all these elements are taught in a module lasting several weeks over a half term, building up their skills, until the children get a chance to show that they can apply their learning.

At the end of an hour’s composition, the children are given the opportunity to read their work back to themselves. In the classroom, they would whisper aloud so they could hear it. Hearing it spoken is a tip for the checking of any errors. Editors and proofreaders do it as a proven strategy!

Review of 2019

Life as a freelancer has its ups and downs. In this blog post I review how my business has fared in 2019, with both successes and lessons learnt.

A thick skin needs to be developed to cope with the downs. But the ups are ever so rewarding and uplifting. Many of my freelance colleagues will agree with those sentiments. I have certainly honed the three Ps: patience, perseverance and persistence.

Slow burn

My year has been busy, particularly with primary tutoring, but I’m pleased to report that the proofreading side of the business perked up. Those who have been at it a lot longer say it can be a slow burn, taking up to three years to get established and known as a freelancer. I agree. My business has grown.

Winter review

A proofreading job in January with an unsatisfactory client did not start the year well. A lack of communication meant I was left feeling humiliated. Lessons were learnt on both sides, so best forgotten.

Spring review

For the first four months of 2019, the proofreading jobs were very few and far between, and a lot of freelancers shared their worries on social media about paying bills.

I have found it is good to have a wee part-time job to take away some of the stress of the unreliability of the freelance income. Fortunately, the tutoring I offered increased to five afternoons a week. My Friday became a Saturday (day off) to fit in with my husband’s free day as he cycles at the weekend.

Marketing review

Being fully booked with primary tutoring meant that my income wasn’t so much of an issue, but I was doing all I could to could to market myself as an available proofreader. Sending cold emails, writing blog posts, and sharing on social media continued though to Easter. I was even asked to do a proofreading test for an educational publisher! But no work has come of it yet – something to chase up in January 2020.

IM Available

By April, I had a proofreading request from the Chartered Institute of Editing and Proofreading (ciep.uk), formerly the Society for Editors and Proofreaders. A director found me on their list of available Intermediate Members. If you are an Entry-Level Member it’s worth trying to gain points by training and experience in order to upgrade to IM. Then you qualify to appear in their internal list of IMs, appearing visible for work opportunities.

The client wanted a proofreader to check some new proofreading exercises which will be part of a resource bank. I thought this was a brilliant opportunity! The role involved test-driving the exercises and feeding back on the time taken and their effectiveness. The job continued, interspersed with voluntary editing until the end of August.

Summer review

August used to be the month when I went on holiday. As an ex-teacher there are more months available now, so I made myself available for jobs in the summer.

In August, I got a surprise email from a local business. It appears that it is advantageous to have a Google Business Profile. The client had googled ‘proofreaders in Essex’. My name popped up. I was away on a short break for my wedding anniversary. So, having a sneaky peek of my emails while my husband wasn’t looking, I offered to refer the prospective client to other IM proofreaders. No, he said, he could wait. There was no rush. Wow, I thought, this job sounds hopeful.

He explained that his company writes on-line courses for health and safety qualifications. They asked if they could email a course to be proofread as a trial. I established Terms and Conditions. We would see how we got on liaising. Then there might be future courses to proofread.

A flexible client

The trial job was proofreading a course which consisted of eight modules with roughly 20 PDF slides in each module. Some with few words, some heavily worded. I created a Style Sheet, then set up a Query Sheet for any questions I had.

The promised return in one week was achieved. I invoiced and asked for a feedback testimonial to put on my website. This job continued to be special as the invoice was paid the same day it was presented – plus their feedback was gracious! I am still basking in the afterglow of that positive working experience.

When I shared on Twitter that I had a queue of two clients – the first time I have had to timetable a schedule – another client appeared.

I shared that I had appreciated the fact that the August client had been prepared to wait until I had finished a regular monthly editing job I do. A children’s author saw my post and booked me in for a proofreading job in September. Getting yourself out there *does* put you into the eyeline of prospective clients –if you’re in the right place at the right time.

Networking and CPD in 2019

I got out and about to the following events:

  1. May: SfEP mini conference in Newcastle (see blog post here)
  2. September: SfEP annual conference in Birmingham (see blog post here)
  3. November: Cambridge Social Media Day (see my summary on my profile page on LinkedIn by searching #CSMDay2019): How to be more savvy with your content marketing on Facebook, LinkedIn, Twitter, etc.
  4. All Year: Meetings of my local Herts & Essex SfEP group. These meetings have provided opportunities for mutual support and fruitful discussion. For me the meetings have been sacrosanct – timetabled in my work diary and essential for my well-being.

Sharing experience and wisdom

It appears that, by this stage in my freelancing career, I have become someone who is respected as established and supportive to newbie freelancers. Thank you to the folk, especially former teachers, who have shared their appreciation of my blog posts this year with positive responses.

New year plan

Going into 2020, I have successfully applied to be mentored through the SfEP proofreading mentoring scheme. I am really looking forward to working with my mentor into next year.

Branding

Meanwhile, I want to update my branding, so have bought Louise Harnby‘s – ‘Branding Lite’ course. I bought her ‘Blogging Lite’ course last spring to help me plan how I was going to write blog posts for the year ahead and beyond. Look at me now … Happy blogging anniversary to me!

I have a winter of studying ahead. Can’t wait.

How I Teach Maths

 

How I Teach Maths blog postI’ve said it before, and I’ll say it again … one of the things I love about my freelance business is the variety. As well as editing, I enjoy teaching primary school pupils. Maths is one of the subjects I boost in tutoring sessions.

Tall Tartan Talks here … This blog post is part of my series on education, teaching and learning. The first in the series is Why I Tutor.

In this post, I continue to share tips from the 30 years I spent in the classroom teaching 5-11 year olds.

Who is this blog post for?

Proofreaders with an educational specialism are asked to proofread not only English texts for publishers, but materials in any subjects in the national curriculum. The ability to fact-check that answer books are correct, and marking schemes match, is a definite advantage and sought-after skill.

Perhaps you are a former teacher considering adding tuition to your portfolio of jobs. It’s a no-brainer to apply your expert skills to running a tuition business, over which we have sole control. No need to answer to OFSTED.

Maths lesson

Now I describe how I tutor an hour-long Maths lesson. I enjoy using particular resources, described below, to encourage engagement and learning.

This Maths lesson is aimed at an average 8-year old in Year 4. It is divided into three parts: mental warm-up, written practice and reinforcement, finishing with a fun game to wind up the hour.

Pre-requisites for this lesson

  • Mental number bonds to 20.
  • Times tables knowledge of x2, x5, x10, x3, x4, x6, x8 (according to the National Curriculum 2014, children should know all times tables by Year 5). Notice I have listed them in the order they are taught from Year 1.
  • Some division tables knowledge of ÷2, ÷5, ÷10, ÷3, ÷4.

Resources for games

  • Wrap-ups (I’ll come to these in a moment)
  • dice
  • playing cards
  • iPad or Android tablet device.

Mental starter

Use mental maths strategies to add quickly and efficiently. This part should last no more than 10 minutes.

The purpose of this is to settle into a focused frame of mind, and warm up the little grey cells. So, a speedy game of Snap with playing cards for hand/eye agility and coordination is a thrill.

Or throw two dice and add, or multiply, with speed. Extending this, throw three dice and add by finding the largest number first; or find two numbers which make ten; or near doubles.

My favourite starter is the Wrap-up.

Wrap-ups are available as all four operations (+ – x ÷) as well as fractions. The photo shows the times tables version of a Wrap-up.

Each key has a separate times table, with answers mixed up on the back, for self-checking. A string is wound matching the question to the answer, while saying the question out loud. For example, 4 x 3. The child winds the string around, matching the question to the answer.

I vary the vocabulary used to ask the question: 4 lots of 3; 4 sets of 3, 4 groups of 3, 4 times 3, 4 multiplied by 3.

Rotating the string round and round, at the same time as vocalising the question, is known as the VAK approach – visual, auditory, kinaesthetic. The child uses the strategy they feel best suits their learning. It is especially appropriate for children who can’t keep still as they learn. (One of my tutee clients has ADHD.) Wrap-ups are available from this website.

Main session

Written short multiplication method: carry out multiplication calculations using the following as an example, 854 x 4. This part should last around 30 minutes.

Using relevant vocabulary

It is vital to use the correct vocabulary when describing a strategy. Children tend to use the word ‘sum’ to describe any operation involving numbers! ‘Sum’ describes addition only – it means ‘total’. The answer to a multiplication question is the ‘product’. So, we could re-write the above question as: “What is the product of 854 and 4?” (This extends the question level to Year 5, as the word ‘and’ confuses the concept; a common error is for children to read the question as addition.)

Use this method

On squared paper, set out the 3-digit number, 854, (with one digit in one square) in the column values HTU, drawing two horizontal lines underneath as the place to write the answer. It astonishes children that the = sign means the same as those longer lines in a written strategy.

It’s hard to describe the method here, but I’ll have a go. Set out x4 underneath with the 4 in the Units or Ones column. Multiply 4 by the 4 Ones, making 16. Write 6 Ones in the space for the Ones answer, and ‘carry’ the 1 Ten into the Tens column. Multiply 4 by the 5 Tens. This equals 20, then add on the carried Ten to make 21 Tens. One Ten stays in the Tens column, and ‘carry’ the 20 Tens into the next column as 2 Hundreds. Multiply 4 by the 8 Hundreds to make 32 Hundreds, then add the carried 2 to make 34 Hundreds. The completed answer is 3,416.

Linking the calculation to a real-life problem gives the answer more context:  “If four people each made £854 in one month, how much was earned altogether?”

Showing mastery

If children can explain how they got their answer using the correct terminology, then it shows they have a secure grasp of the concept.

A common error is to forget to add on the carried digits, so I reinforce this aspect repeatedly. More able mathematicians can check the answer by using the inverse operation, division. Skills can be extended by multiplying thousands, hundreds, tens and units by a single digit.

One of the most common parental comments is that methods have changed since they were at school. They feel it’s hard for them to help their children. Ask your child’s teacher for clarification. Some schools produce a handy leaflet for parents about how the Maths methods are taught.

Lesson plenary

My pupils love using a Maths app on my Android tablet to round up the session and relax. These include Card Match, Solitaire (which I knew as Patience when I was young), and Countdown. They often beat me, too. This part should last no more than 10 minutes.

Why I tutor – Part 2

Having been a classroom teacher, with many conflicting demands on time, you find that there are simply not enough hours in the day to spend quality 1-1 time with each child. Improving reading skills is probably the highest priority.

I find doing private tuition much more rewarding: I can choose the resources I want to use; planning for one child takes so much less time than for a class; children feel more relaxed to ask questions when there are just two of you.

Much has happened since I first wrote (a year ago) about marketing my proofreading business, so this is the update:  how I told the world I was open for business.

Building a website, social media and content marketing were the essential strategies I used, back in 2017, to proclaim my new services as a proofreader.

In a previous episode Business Plan and Training, I detailed how I became a freelancer offering proofreading services after three decades as a primary school teacher. In this tweaked blog post, I describe how I decided on my marketing strategy and how it has evolved.

I know some freelance business owners who still cringe at the thought of putting any details ‘out there’. Or haven’t got the interest or skills to build a website. But how else are you going to advertise your services or get business unless you are a presence online? There is also plenty of support out there if you need guidance or to outsource.

Displaying your ‘shop window’

A website is essential: you need a ‘shop window’ to display your business.” These were the words of my Business Mentor at my local Job Centre when they helped me set up as a self-employed proofreader.

The process of choosing a website domain, a host, designing my website, plus researching the content marketing world of social media was a steep learning curve.

But I have come far over the last two years!

Also, I have seen many people, including career-changers, entering the world of editing and proofreading who are asking all the questions I asked then.  So this blog post might help you. What follows is what I did to market my business.

Building a website

By January 2017, my New Enterprise Allowance (NEA) Business Plan (with People Plus) had been approved, and I was told by my mentor to go and build a website. The only domain name which was available and that I liked the sound of was Proofnow. That was the easy part. Proofnow Proofreader was born.

“How do I build a website?” My only experience had been editing my class page on the website of the school where I taught.

I chose my first website host. The building of each page was fairly straightforward: I added Services, Pricing and About pages, with a few photographs for variety; I emphasised my previous career as a teacher with efficient marking skills – this would be my Unique Selling Point (USP). I could add a couple of testimonials after getting some proofreading work.

Finding the website host for you

Although I was pleased with the look of the site on the desktop of the PC, it looked dreadful on my mobile. One tip I had read was that your website must be viewable on all devices.

At the end of my first year of business, I knew I had to find a different host as I found the backend clunky. I did some fairly intense research to find my next website host.

Creating a new website

I copied everything over to my new website … then I was up and active with my new host. What a relief!

Over time I read and researched more about how your website should be less about you and more about how you can solve problems for your potential client. This gave me the courage to tweak the theme and wording. Here are some tips I learnt.

Following basic website tips

  • easy to read, clear font
  • your headshot and/or logo
  • your services – what you can do for your client
  • contact details – how does a new client get in touch with you?
  • Say less of what ‘I’ can do but what ‘you’, the client, needs. How you (the freelancer) can solve their (client) problem.
  • match the branding on your website with that on your social media sites where you will publish and market your website. In other words: same headshot, same banner, same headline/tagline for consistent marketing.
  • Designing your brand is made easier by choosing prepared designs from a free app.  Canva is a design programme for those who have basic technical skills. I found it really useful when ensuring consistency in designing the banners for marketing my website and social media profile pages. This represents ‘joined-up’ marketing.

Everything I tried with my website involved trial and error, with the undo button at hand. Also, with sheer surprise if something worked first time!

Increasing visibility

Now, having been with WordPress for a while, I am now happy with my website and proud of what I have achieved so far. It is easy to manage and looks consistently good on a desktop, tablet and smartphone. Statistics show that mobile devices are used more for browsing websites than any other. Indeed, smartphones mean that websites can be viewed immediately when a link is shared. So it is essential that your website works and looks good. Everywhere.

Using social media

LinkedIn, Facebook, Instagram, Twitter, …? What kind of social media do you prefer? Where do you share the link to your website? What kind of content marketer are you? I know some folk who steer well clear. They’re just not interested. I know some folks who do it ALL. Is that a good idea? Does it work? Does it GET you work?

Using Facebook

The first thing I did on Facebook when I started my business was to advertise Proofnow Proofreader as a business Facebook page because I understood it.

I have joined Facebook support groups. Anything you need reassurance for, it’s there, whether you are a freelancer, editor, proofreader or tutor like me.

Using LinkedIn

I attended a workshop on LinkedIn run by fellow SfEP-er John Espirian at the annual conference of the Society for Editors and Proofreaders in 2018: ‘How not to be a LinkedIn Loser’. I learnt A LOT. He gives results of methods he has tried to make the algorithm work for him, then passes on the tips. Then I saw John talk on LinkedIn at the Cambridge Social Media Day (#CSMDay2019) in November, when I topped up my LinkedIn skills.

He recommends liking and commenting on the posts of others to engage in conversation, rather than sharing. This raises the visibility of your profile. To some, LinkedIn is where important contacts can be followed, and business connections can be made. Work may even follow. This is my favourite way to post my blog posts where colleagues  can engage. Here is my LinkedIn page. Judge for yourself. Why don’t you try personalising your invite to connect? Then I will understand how we can help each other.

LinkedIn is also beneficial as recommendations can be made. After doing a proofreading job on a punctuation book for children, I was able to send the author a link where she could write a testimonial. It’s impactful because the focus is on the client to write it for you.

Twitter

On Twitter, retweeting (sharing) posts of those you follow, and your own posts improves engagement. I engage on Twitter because a lot of SfEP members are there. An educational author even got in touch and offered me a proofreading job!

Engaging: liking, commenting, sharing

Having read a HUGE array of tips about content marketing, everything I have learnt has been by osmosis, by watching how others do it. However, it IS an effort to stay on top of content on social media.

When following newsletters  you subscribe to for tips and advice, it is imperative to be selective. Take control and make your inbox manageable. Or you’d never get any work done.

Content marketing

If you want to share content, planning is vital. Blogging, for instance, is far more effective if subjects are planned over the longterm. Then fit in spontaneous posts when giving a reaction to situations. I try to publish a blog post monthly – it’s scary how quickly those months go.

When I share a #TallTartanTalks blog post, I aim to do it on a day when I don’t have a work deadline and have the time to like and comment on the engagement. This is timetabled in my diary.  As a result, when I engage, my website viewing statistics increase dramatically. That’s one of the reaons why blogging is effective: for website visibility.

Others prefer to use scheduling tools, like Buffer, so that the timings of content posting are automatic. The worry of manual posting is removed.
